Why do we need this information?
We know no one loves filling out forms, and given the estate's history, we know people are rightly protective of their data. A couple of years ago, a previous attempt to start an RA collapsed because one individual hoarded everyone's information for their own use. We are doing things completely differently.
This group is run by an elected interim committee, bound by a transparent constitution, and governed by strict data firewalls. Here is why we need these quick details:
Your Flat Number & Core: To get official leverage, the law says we have to prove to Y&Y (and Riverside for our shared owners) that we represent a genuine majority. We use your flat number strictly to count "one vote per household" so we can hit our building targets.
Your Tenure (Owner vs. Tenant): The regulations divide us into different categories based on who pays a variable service charge. The form uses your answer to customize your experience. If you are a leaseholder or shared owner, your signup acts as a direct vote to adopt our rules. If you are a private or social tenant, you are our vital eyes and ears on the ground for safety, security, and tracking everyday estate issues.
Our Commitment to Everyone: A broken security gate, fly-tipping, or antisocial behaviour doesn't care what your lease says - it affects all of our daily lives. This association is entirely committed to representing every single person living in this estate.
Your Phone Number (Optional): Only used as an administrative backup if we cannot reach you via email regarding your membership or written resolution verification. We will never use this for casual calls or text loops.
Who Sees Your Data? Your details are held securely by our committee. To get officially recognized, we are legally required to hand a list of names and flat numbers to Y&Y, Riverside, or a Tribunal judge to prove our numbers. That is the only time it is shared. Every time an Officer looks at or exports this list, it's permanently logged and every other Officer is told - nobody can quietly access it on their own. It will never be used for personal agendas, and if the push doesn't go ahead, that data will be permanently deleted.
